Managing Auto Renewals
Accessing Auto Renewal
Once the contract is eligible for auto renewal, users can approve or deny it from the following locations:
Access the Contracts Module by clicking on Contracts in the left-hand menu.
- Contract Dashboard: The main dashboard will list the number of contracts with upcoming notifications. Clicking View on a contract will open the contract details page.
- Notification Bell: The bell at the top of the page will display the number of contracts pending auto renewal.
- Status Column: The Take Action link in the Status column of the contracts dashboard will also allow for auto renewal management.
- Contract Details Page: If the contract is flagged as At Risk, clicking the warning box will open the auto renewal dialog.
Take Action on Auto Renewal
When the auto renewal dialog opens, it will pre-populate with the details entered during the initial setup. You can either Approve or Reject the auto renewal:
- If Rejected: The contract will remain active until the end date, after which it will transition to an Inactive status.
Must Know! The vendor will not be notified through RFX whether the auto renewal is approved or rejected. It is the user's responsibility to notify the vendor outside of RFX.
- If Approved: The contract will be marked as Auto Renewed, and no further action is needed.
