Managing Users & Permissions

Once a user is added, permissions can be managed. If permissions need to be adjusted after the initial setup, click on the user’s pencil iconScreenshot 2025-02-26 at 2.14.47 PM.

Helpful Hint: Before adding users, consider the access each role in the facility needs (e.g. RN's, Front Office, etc.). Then, assign access to individual users based on their roles. This will help minimize the number of users with full/admin access.

Permission Levels 

  • System Admin: Grants full access to all areas of RFX, including the ability to manage user access and notifications. All boxes will be automatically checked. 
  • Full Access: Grants full access to all areas of RFX but does not allow the user to manage user access or notifications. 

Access Options 

  • Access: User can view and manage (add, edit, delete) items in a section. 
  • Read-Only: If checked alongside "Access," the user can only view items in the section (no editing or deletion). 

 

Module Permissions 

  • Binders
    • Binders Super User: User can view and edit all binders in RFX. 
    • Area Access: User can access the Binders module, but permissions need to be set for each individual binder. (See "Managing Binders" for more info.) 
  • Contract Management
    • Contracts/Evaluations/Inspections/Master Vendor List: Choose Access vs. Read-Only for each. 
    • Contract Types: Contracts a user can access can be managed by type (e.g., Administrative, Capital, Implant, Insurance Payor). 
  • Credentialing
    • Staff Records
      • Access vs. Read-Only 
      • Health File vs. Health File Only 
    • Provider Credentialing
      • Access vs. Read-Only 
      • Health File vs. Health File Only 
      • Privileging 
    • Document Library
      • Access 

Helpful Hint: The Health File permission requires a tab named 'Health File' in the document library. Also, if the 'Health File' option is selected, it provides access to other areas as well. However, if 'Health File Only' is selected, the individual will only have access to the health file and nothing else. For example, someone in infection control may need access to provider/staff TB, flu and Hep B records, but not to logs or any other areas.

Logs Permissions 

  • Logs Super User: Users can view, create, and edit log entries. They can also edit historical log entries and manage log templates in settings. 
  • Access Roles: These roles are created by the facility under the Compliance Logs settings. (See Access Roles for more info.) 

Must Know! At least one access role must be selected, otherwise the user will not be able to access ANY logs.
