Performing Provider License Verifications
DEA and State License Verifications
Managing the workflows for DEA and State License verifications are in the document library (see Setting Up the Provider Library).
DEA License Verification
RFX has partnered with the DEA to provide up-to-date license verifications directly within the platform. The DEA refreshes its verification data every morning.
State License Verification
RFX will pull the license information (if available) from the state license website.
Perform a Verification
- Add a document to the provider’s record if this is the first time. Automatic monitoring won’t occur until the first verification is manually completed.
- If a verification has already been completed, another one can be run at any time.
- Verifications are stored in a separate tab within the document. Either the automated verification function can be used, or verification PDFs can be manually uploaded.
To verify a license in the DEA database, a valid DEA License number must be entered.
To verify a license in the State database, the License Number, State, and License Type must be entered. A drop-down list is available for selecting the license type.
After the verification is completed, the status will appear as either "Active" or "Inactive," and a PDF report will be generated and attached to the DEA document.

Monthly Monitoring
Monthly monitoring can be enabled within the Provider Library settings (see Setting up the Provider Library).
When activated, RFX will automatically verify all licenses in the facility and send an email with the results. This process runs on the 1st of every month.
For a provider to be included in the monthly monitoring, the following conditions must be met:
- The provider must be active.
- A valid License Number must be stored in their document.
Monitoring emails will be sent to all system administrators unless the settings are overridden in the "Notifications" section within Settings (Sanctions – Monthly Email). The status of monthly monitoring will be displayed as either green or red on the dashboards and on the provider’s profile.
