Setting Up Auto Renewals
Auto renewal can be set up when adding or editing a contract in RFX.
To set up auto renewal for a contract:
Step 1: Access the Contracts Module
- Click on Contracts in the left-hand menu.
- Option 1:
- Click the White Actions button
within the contract line.

- Select Edit Contract.
- Option 2:
- Click the View button
within the contract line.
- Click the Blue Actions button
at the top right of the screen.
- Select Edit Contract.
- Click the View button

Step 2: Click the Terms Tab
Step 3: Enable Auto Renewal
- Select Yes next to Auto Renewal Clause. Three additional fields will appear to configure the auto renewal process:
- Length: Defines the duration of the auto renewal. For example, selecting "month-to-month" will make the contract renew indefinitely until it is terminated.
- Renewal Period: Specifies how many times the contract can auto renew before becoming inactive. Selecting N/A will keep the renewal process going indefinitely (i.e., Evergreen).
- Fee Increase: This field provides reference for approving or denying the auto renewal.
Must Know! The auto renewal process becomes available only after the vendor cancellation deadline has passed.
Example:
- A contract expires on September 1, with a 60-day vendor cancellation notification. Starting on July 1, RFX will flag the contract and allow for auto renewal.
- If the contract is set for a 2-year renewal period, you will be prompted again to auto renew the contract the following July 1.
