Step 3: Enable Auto Renewal

  • Select Yes next to Auto Renewal Clause. Three additional fields will appear to configure the auto renewal process:
    • Length: Defines the duration of the auto renewal. For example, selecting "month-to-month" will make the contract renew indefinitely until it is terminated.
    • Renewal Period: Specifies how many times the contract can auto renew before becoming inactive. Selecting N/A will keep the renewal process going indefinitely (i.e., Evergreen).
    • Fee Increase: This field provides reference for approving or denying the auto renewal.

Must Know! The auto renewal process becomes available only after the vendor cancellation deadline has passed.

Example:

  • A contract expires on September 1, with a 60-day vendor cancellation notification. Starting on July 1, RFX will flag the contract and allow for auto renewal.
  • If the contract is set for a 2-year renewal period, you will be prompted again to auto renew the contract the following July 1
