Terminating Contracts

Contracts can be terminated within RFX, changing their status to Inactive

To Access the Termination Notice Action: 

  • Option 1: Main Contract Dashboard 
    • Click the White Actions button and select Termination Notice.
  • Option 2: Individual Contract File 
    • Click the Blue Actions button at the top right and select Termination Notice

Then choose a contract that is NOT Inactive and click on Termination Notice

Choosing the Type of Termination: 

  • Termination Without Cause: 
    • Enter an Effective Date
    • Choose if a Termination Letter will be uploaded. If so, upload the file and any additional supporting documents. 

Must Know! Comments are required before generating the letter.

    • If a termination letter is NOT uploaded, RFX will generate a standard termination letter, which can be previewed before sending.
  • Termination With Cause: 
    • If no Termination Letter is provided, RFX will ask if there is a Cure Clause (a provision allowing the vendor to fix the issue). 
    • If a Cure Clause exists, provide the number of days specified for the vendor to resolve the issue.

Sending the Termination Notice: 

  • Once the termination notice is sent, an email will be sent to the vendor with all attached documents. 
  • The contract will move to Pending status.

  • Go to the white Actions button to the right of the row and select Termination Notice.
    • Cancel or Complete the termination.

    • Once completed, the contract will be marked as Inactive

Termination Without Notifying: 

  • Click the orange Terminate Without Notifying button to inactivate the contract without sending a notification through RFX to the vendor.   
  • A dialog box will appear to confirm this action.  The contract will then be marked as Inactive.
