Adding Log Templates

  • Click the Settings button Settings_Button on the left sidebar of any screen.
  • In the top-left corner, when Settings appears, select Compliance Logs from the list.

Must Know! Only Super Admin, Full Access and Logs Super Users for the facility will be able to see this area.

Adding a New Log Template 

There are two methods to add a log to the facility Templates page:  

Method 1: Adding from Templates Tab

When creating a NEW log template, the following fields are available: 

  • Log Category: Select the appropriate category for the log. 
  • Log Name: Assign a name to the log template. 
  • Allow Import of Previous Log Entry: Choose Yes or No (defaults to Yes). 
    • Yes: Allows data from the previous log entry to be imported. This option is useful for fields that rarely change. 
    • This option can be enabled or disabled for individual fields in the log builder. 
  • Notify if not completed by time due?  Choose Yes or No (defaults to No). 
    • Yes: Notifies team 5 mins after schedule time due for log entries not completed.

Method 2:   Clone existing templates from the Global Library or Templates page. 

Logs can be cloned to save time and avoid recreating them.  

Example: An OR temp/humidity log can be cloned for multiple OR’s.  

If a facility needs to change a data field, the old log is deactivated, and the new one is activated. The logs are then "linked" together for easy viewing. 

  • Go to Templates or Global Library
  • In the Actions area, click Edit Log Template

  • Click Clone Template in the Action menu on the right side of the screen.

The cloned template will be labeled with "CLONED -" and added to the list in the Templates page.  

Saving Log Templates 

Log templates are automatically saved as changes are made. There is no need for a Save button, as progress is saved in real time. 

Activating and Deactivating Log Templates:

  • We will now use the log schedule builder to activate and deactivate logs templates
  • To activate:
    • Add a new schedule or open the latest one.
    • Enter a start date for when the log should begin.
    • Optionally set an end date if the schedule should stop on a specific day.
    • Review schedule timing and save your changes to activate the log.

  • To Deactivate:
    • Open the last schedule.
    • If the schedule has no end date, set an end date for the day you want it to stop.
    • If the schedule already has an end date, adjust it to the desired stop date (e.g., today to end by end of day).
    • Review changes and save the schedule to deactivate the log.

Editing Log Templates 

Log templates can be edited before data collection begins. Once data collection starts, the template is locked to ensure data integrity. 

Helpful Hint: If a locked log template needs modification, it can be cloned, the new version activated, and the old version deactivated.
