Viewing the Provider File

To view a provider's file: 

  • Click Providers on the left side of any RFX screen. 
  • In any tab (Active, Pending, Inactive), click the View buttonScreenshot 2025-01-31 at 10.47.59 AMwithin the provider line. 
  • Once in the provider’s file, users can select another provider using the option at the top-left corner of the screen. 

Provider File Overview 

The provider’s file displays key information at the top, including: 

  • Name 
  • Specialty 
  • Address 
  • Phone Number 
  • Email 
  • Privileging Information 

Actions Button 

The Actions button in the provider file allows users to perform the following actions: 

  • Edit Provider Information – Modify the provider's demographic and contact information. 
  • Add/Request a New Document – Add a document or request one from the provider. 
  • Create a Checklist – Create a checklist for the provider. 
  • Delete Provider – Remove the provider from the system. 
  • Search NPDB – Directs to the NPDB website. 
  • Search SAM – Directs to the SAM website.

Must Know! Deleting a Provider is permanent, and its content may not be recoverable. It's best practice to make them Inactive instead.

Provider Tabs 

The provider file contains several tabs to help users manage the provider's information. The tabs are organized as follows: 

Hardcoded Tabs (These tabs cannot be customized): 

  • Profile 
    • Displays key provider information, such as document statuses, sanctions, verification statuses, and additional demographic details. Any notes added when updating the provider’s info will also appear here.

  • Privileging 
    • Used to manage the provider's privileging details and view archived privileging appointments. For more information, see Managing Privileging

  • Pending 
    • Lists documents or tasks that are pending completion. For each pending item, users can: 
      • Comment – Add comments to track communication about the document request. 
      • Take Action
        • For requested documents: Cancel the request or send a reminder. 
        • For documents pending approval or waiting to be completed: Review the document and complete the approval or checklist process. 

  • Learning
    • Displays completed courses with an option to view the course certificate. Users can also archive a course by clicking the archive buttonif needed. 
    • Shows pending courses. The "Take Action" button allows users to cancel or send a reminder for the requested course.

  • Gap Analysis 
    • Compares the provider's current documents against a checklist from the Provider Library and displays their status.

Must Know! This view is applied for ALL users.

    • Customize View: Users can drag and drop document cards to reorder them for analysis. 
    • Print Button: Generate a PDF of the Credentialing Analysis, which can be printed or saved.

  • Health File 
    • A tab to store the provider's health information and control access for specific users. 

Custom Tabs: 

Tabs below Gap Analysis are created through the Provider Library function. For more information, see Setting Up the Provider Library
